Preview Services acquires Document Reduction company

Preview Services: Document Scanning Press ReleasePreview Services Ltd has acquired the business assets and trade of Document Reduction Services Ltd. (DRS)

Preview is one of the UK’s leading scanning and data capture service providers and last year opened a new records management centre for longer term storage of client documentation.

Since 2002 DRS has been providing specialist storage reduction and protection using a unique vacuum sealing process originally developed for the food industry. Documentation that is to be stored for long periods benefits from complete security and tamper evident status inside special pouches containing no air.

The process can be offered as part of a total records management solution or alternatively equipment can be installed at clients’ premises to enable material to be sealed as it is generated. In addition to the obvious security benefits the material is also completely protected from water and smoke and much better protected from fire. But perhaps the principle benefit is that the volume of material stored is reduced by 40% - giving huge savings on space.

Document Scanning moves mountains for Carillion

Document Scanning moves mountainsWith major construction projects comes a paperwork mountain to match and the efficient storage of all the drawings and information can provide an “Everest” size headache.

It was just this type of situation that Carillion, one of the UK’s leading support services and construction companies, found themselves in. A number of recently completed projects had generated so much documentation that it was being housed in several rooms on site and two additional lock ups, not to mention a number of corridor shelves which had been brought in to ease the pressure!

Something had to be done and a programme of document scanning seemed to be the ideal solution, providing better document management, instant access and, of course, freeing up the precious space. The scanning would need to be of both the reams of documents and large scale drawings that were involved.

Carillion had worked with Preview previously on other projects and chose them again as being the best able to deliver on all the key elements required from an operational and organisational perspective. Above all, time was of the essence as Carillion were imminently moving into new offices, so there were critical milestones that needed to be achieved giving little margin for error.

No need to worry - the scanning was completed successfully and the move went ahead without the mountain of paperwork in tow. Now, with the document scanning safely under control, office space is no longer a barrier to having the right information safely stored and available, allowing Carillion to concentrate on moving their own mountains in their projects.

Scanning at the Bodleian Library

We can learn a huge amount from the past but sometimes even the accumulated knowledge that it holds can benefit from new techniques and technologies that the present offers.

Take the case of the Bodleian Library for example. The Bodleian is the main research library of the University of Oxford and the second largest library in the UK whose collections are used by scholars from around the world. The information it holds is priceless.

As part of a major refurbishment plan, the architects needed to have access to the plans of the existing structures, while at the same time it was imperative that the drawings themselves were kept safe. The solution was to use document scanning, providing the architects with scanned images while protecting the original drawings.

Fortunately, Preview are experts in the process of digitising historic material and previously the Preview team has scanned material that is several hundred years old. Not only does this safeguard their use but of course also preserves the content in perpetuity. In this case too, the people at the Bodleian Library have been delighted with the results and intend to consider more scanning of historic material in the future.

Preview Services acquires data management company

Preview Services: Document Scanning Press ReleasePreview Services Ltd - one of the UK’s leading document scanning and document management outsourcing organisations has acquired the trade and assets of February Automation Ltd.
Established in 1965, February Automation has been successfully offering a range of data management solutions including data capture and verification, database building and maintenance, response handling, mailing work and data storage to large blue chip and government organisations throughout the UK. Some of its clients include organisations such as Legal & General, Vodafone and the Conservative Party Central Office.

With the same ethos of providing an excellent quality service without compromise to its clients and affording a high level of flexibility, February Automation fits well with Preview’s document management, scanning and archiving activities.

Commenting on the acquisition, Preview’s Managing Director, Mike James said, “We are delighted to have acquired the skills and experience of a business that has been at the forefront of the industry for so long and we look forward to welcoming their clients into our organisation.”
