Benefits of Outsourced Managed Services

Your experience of Preview will probably be based on our document scanning and data capture capabilities. In fact, we have now created the largest document scanning operation in the UK and use this capacity across a huge range of industries.

However, in addition to this, we have also developed a key partnership with an offshore managed services company which means that we can extend the cost savings on many ‘back office’ processes. When combined with Preview’s ability to digitise paper, this provides what is probably the most powerful range of managed services available in the UK market.

Virtualisation - so what exactly is it?

Virtual safe for secure documentsWhen it comes to document scanning, virtualisation refers to the idea of storing documents in a virtual environment, creating a secure storage area akin to a vault or a safe where we can keep our information and documents safe … just like in a physical one, only this time virtually. Essentially, it comes down to creating a highly secured area which contains your company’s information and yet makes it instantly accessible to you all day every day, whatever your location.

To achieve this, our own solution for this uses eView+ which is exactly this type of Virtual Vault. It’s also an ideal solution for companies who want all the benefits that document scanning offers, but are unsure if they want to hold the information themselves or indeed whether they have sufficient space on their own servers to do so.

Effectively outsourcing this storage and secure access has proven to be the perfect solution for many organisations and is becoming increasingly popular - with an outsourced or managed service, you can be certain that everything is in place and done correctly for you. Although the size of company looking for this varies enormously, the solution works equally well if you only need a small number of documents stored or are looking to index hundreds of thousands of records. Engine Room for Offshore Processing

Document Scanning - Outsourcing opportunitiesA major development in the progress of scanning has been the huge growth of the offshore BPO sector. Substantial labour savings, improvement in quality and scalability are the main reasons so many organisations are looking to undertake certain processes in countries such as India. But the practicalities which prevent paper from being sent abroad means that digitising it first is essential.

Companies such as Preview that have substantial electronic communications capability can then upload these images for subsequent processing very quickly and this takes away any security issues associated with paper records leaving the UK.

Preview’s own partner in India – Merit Outsourcing - is a world class provider of services offshore and their quality standards are second to none. In conjunction with Merit, Preview is providing a huge range of capture services to UK clients from simple indexing of documents through to detailed analysis of the data itself. One of the most exciting developments is the growth of accounts payable processing and with a combination of scanning, OCR and offshore matching and processing, cost savings of 50% and more are being achieved. Furthermore clients tell us that their relationships with their own suppliers are improved because they can provide accurate and fast query management and payment.

And it’s not just Preview’s own offshore partner that is seeing growth. Preview now works with over a dozen offshore centres that are either owned or chosen directly by its clients.

To some, the movement of labour intensive jobs offshore is sensitive and depressing. There is no doubt, however, that with over a billion people in the sub continent alone, many of whom are highly educated, this move will continue. In the last 5 years Preview has grown its staff base by over 200% and is continuing to expand to support the growth of digitising material for offshore processing.
