Preview Services: Fastest Growing Scanning Service Provider
Preview has become the first scanning services provider in the UK to install three IBML IT III scanners in a single site with a fourth on its way. When added to the Company’s other specialist digitisation equipment, Preview’s Heathrow facility is one the largest and most modern bureaux in Europe, with a huge capacity for converting paper and capturing data.
With the ability to work 24 hours a day, the IBML IT III systems have the capacity to scan over 15 million images a month in high density and with optional OCR and ICR capability. Preview’s UK and offshore teams then extract and process data extremely fast and present it to clients in a variety of formats.
Preview’s Commercial Director was naturally delighted at the growth of the Company in recent years; ‘We believe Preview is the fastest growing service provider of its kind in the UK. In recent months, Preview has taken on several new contracts to convert data for clients in fields as diverse as Distribution, Education, Public Authority, Legal and Financial Services. These companies range from multinationals such as Toshiba and Carillion to smaller companies primarily from the financial and IT sectors. All had the same basic requirement for instant and secure access to their documents and the information they contained and were looking for a full service scanning solution from a company able to deliver against their needs.
Servicing companies at both ends of the business spectrum and across a number of targeted sectors has given Preview an in-depth understanding of the benefits they can gain from scanning and how best to achieve them. The additional capacity that the latest IBML scanner will offer will allow them to expand this further still.
Preview Services acquires Document Reduction company
Preview Services Ltd has acquired the business assets and trade of Document Reduction Services Ltd. (DRS)
Preview is one of the UK’s leading scanning and data capture service providers and last year opened a new records management centre for longer term storage of client documentation.
Since 2002 DRS has been providing specialist storage reduction and protection using a unique vacuum sealing process originally developed for the food industry. Documentation that is to be stored for long periods benefits from complete security and tamper evident status inside special pouches containing no air.
The process can be offered as part of a total records management solution or alternatively equipment can be installed at clients’ premises to enable material to be sealed as it is generated. In addition to the obvious security benefits the material is also completely protected from water and smoke and much better protected from fire. But perhaps the principle benefit is that the volume of material stored is reduced by 40% - giving huge savings on space.

Preview Services acquires data management company
Preview Services Ltd - one of the UK’s leading document scanning and document management outsourcing organisations has acquired the trade and assets of February Automation Ltd.
Established in 1965, February Automation has been successfully offering a range of data management solutions including data capture and verification, database building and maintenance, response handling, mailing work and data storage to large blue chip and government organisations throughout the UK. Some of its clients include organisations such as Legal & General, Vodafone and the Conservative Party Central Office.
With the same ethos of providing an excellent quality service without compromise to its clients and affording a high level of flexibility, February Automation fits well with Preview’s document management, scanning and archiving activities.
Commenting on the acquisition, Preview’s Managing Director, Mike James said, “We are delighted to have acquired the skills and experience of a business that has been at the forefront of the industry for so long and we look forward to welcoming their clients into our organisation.”

Preview joins Records Management Society
Preview are pleased to announce that they have now joined the Records Management Society.
The Records Management Society is the foremost professional association for all those who work in or are concerned with records or information management.
At Preview, this is what we do on a daily basis. Document scanning is not an end in itself, but rather a means to an end which gives organisations the peace of mind that they have secure and immediate access to all of their important company information.
The society’s stated mission is to provide leadership in records and information management with the twin aims of:
- Improving the status of records management and records managers through representation, external liaison and promotion;
- Supporting professional development through sharing knowledge and expertise.
New Records Management Centre Opened
Following an extensive search for a suitable site Preview has now opened a new purpose built Records Management Centre (RMC) to complement its processing centre in Hanworth.
The RMC has been specially prepared to handle large volumes of paper for secure storage and in particular scan-on-demand retrieval services.
Located only half a mile from the processing centre, the RMC will hold around 100 million paper records in a secure managed environment. Using the world leading O’Neil software, every archive box and every movement is tracked individually. Furthermore a web based information facility is available to clients to enable them to keep track of the material under management.
The building is highly secure with a range of alarms and detection systems. It has no signage and records are maintained by barcode only to ensure confidentiality.
The RMC will be used for two key purposes:
- To allow expansion of Preview’s processing centre and enable client records to be stored in bulk both prior to and after scanning
- To expand Preview’s world class scan-on-demand service
Preview’s Scan-on-demand service enables large volumes of material to be stored and retrieved electronically and is particularly suitable for medical and financial records.
